ADMINISTRATION MANAGERSUDANOur client requires an Administration Manager to work for their overseas
Support Service Operations. The role is in support of contract expansion and will be joining their
operations in Sudan. To manage the administration functions and to coordinate the Mission
administrative activities including HR Department, Payroll, Travel and Legal administration. In
country HR in direct liaison with Dubai HO. Responsible for all Expat Staff Admin in
Mission.RESPONSIBILITIESResponsible for the successful establishment, improvement and maintenance of
the following key areas to deliver optimum quality, performance and cost outcomes.Set up, manage and
maintain the Administration & HR Department for the Mission.Develop, maintain, design, re-design
implementation and enhancement of HR Manual, Employee Induction Handbook, Company Introduction
Video, Mission Policies and Procedures.Develop and maintain all forms and reports necessary to
perform the administrative functions.Guide and train all Administration Coordinators and HR
Administrators in the Administration & HR Department functions and day to day activities to perform
required tasks.Manage the Administration & HR Department evaluating work performance, providing
feedback, direction and guidance, keeping personnel abreast of new or revised information.Prioritize
and assign tasks and functions to Staff, track and review work progress.Responsible for all In
country HR for Expat Staff in direct liaison with HR DXB; responsible in Mission, for Expat Staff
Administration, including but not limited to, holiday accruals and leave records, leave planning,
flight bookings and travel arrangements as per entitlements.Liaise with HR DXB, Payroll DXB and
Travel DXB regarding Expat Staff queries.Coordinate Expat Staff within Mission travel requirements
and accommodation through the Administration Department (Liaisons and Guest House Supervisors) and
Operations Managers. Coordinate Expat Staff MOPs, ID Cards and issuing of Visas through the Admin
Liaison Supervisor/Officers.Coordinates the transfer arrangements of employees who need to commute
to locations on a daily basis for work and staff requiring transfers between locations.Liaise with
Operations Managers in all locations regarding any administrative functions/issues.Provide data for
and prepare management/operational information and administrative reports to HO in DXB.Manage and
report Weekly and Monthly Headcount and Movements of personnel.Manage Human Resources Department,
overseeing administration of hiring, retention, termination, personnel records, legal compliance,
compensation, benefits and long-term staffing strategies for National Staff. Responsibilities
include development and administration of personnel rules and regulations, pay and job
classification structure, and programs for employee training, safety, health, and morale.
Responsible for the administration of the HRMS database of confidential information for Mission
Staff. Conduct with and advise management and supervise human resources issues; investigate human
resources related problems and make recommendations.Provide HR advice and support to Operations
Managers and National Staff, explaining procedures and policies in a timely and effective
manner.Establish, organize and supervise the maintenance of department records, ensuring accuracy,
confidentially and compliance with Company and Sudanese Labour Law recordkeeping
regulations.Supervise payroll processing, development and implementation of procedures and
application.Liaise with Company’s Legal Representatives and coordinate necessary arrangements and
required documentation for labor relations disputes over contracts, terminations, grievances and
other related issues.Represent the Company at Labor Courts and/or Labor Offices
hearings/sessions/meetings, when necessary.Analyze and review local regulations and laws applicable
to Company & National Staff to ensure compliance with Sudanese Legislation.Perform other tasks
related to the position as required on a daily basis or by the General Manager.ESSENTIAL SKILLS AND
QUALIFICATIONSProven ability to lead and manage a fundamental part of an isolated and successful
business. Experience working in an international, dynamic and multicultural environment.Working
knowledge of HACCP and ISO 9000 standards.Excellent oral and written communication skills in
English.Experienced PC user, familiar with MS Office, email and internet.Demonstrate knowledge of
administration procedures and order management.Experience of managing a team of administrators.Must
be confident with goals and work. Must possess good interpersonal skills. Sensibility, listen to
others, tact and also assertiveness at times. Must have the ability to work within deadlines and
should achieve targets. Possess time management skills and is able to prioritize tasks under
pressure. Must be flexible and quick in responding to requests made at short notice period. Be
adaptable in the fast working environment and comfortably adjust in the dynamic organizational
culture. Must be pro-active, should have skills to initiate own work without direction.Must possess
the quality of self motivation and determination. Should have the ability to prioritize and organize
own workload within broad guidelines, most effectively and accurately. Overall, must possess good
organizational skills to control all administrative job responsibilities.DESIRABLE SKILLSMinimum 5
years experience in administration.Remote site experience.3 years experience in a managerial
role.This role is based in a remote location and the package will include Tax Free Salary, All
