Position Title: Office AdministratorQualifications:The candidate should possess a minimum of a high
school diploma, ideally a BSc or BA Degree, a Microsoft Word and Excel user and a good command of
the English language with a minimum experience of 5 years’ experience in office administration.
General Description of Role & Responsibilities:The Office Administrator shall be responsible for
overall office management and assist in admin/secretarial functions. Specific duties of the Office
Administrator shall include but not be limited to the following tasks:oOffice Assistant and Driver
Management to ensure work is produced to a high standard free of errors, whilst limiting duplication
of effort and encouraging ownership oDriver Management to include driver mileage logs, OT logs and
management, costs and payments, duration of travel and travel itineraryoProfessionally liaise and
communicate with other stakeholders groups such as HR, Finance, Ops, Office Managers, BD,
etcoPrepare and track NOCs, Exit permits, residence permits in liaison with HR and VPoMaintain
meeting schedules, set up appointments, and assist with any company business / social event as
requiredoPrepare and distribute notices, agendas, information packets, progress reports, and meeting
minutes correctly, professionally and accuratelyoProperty lease and insurance certificate
co-ordination and loggingoMaintain relationships with suppliers and vendors and obtain quotations as
required and propose recommendationsoArrangements with IT for Technicians for office equipment
maintenance and repair oTelephone operation (receiving calls), and directing / managing the caller
and the enquiry in a welcoming, professional and courteous way. Taking accurate messages as
necessary oAttend to and direct visitors in a professional and courteous wayoOversee travel
arrangements and hotel bookings for new employee and guest reservationsoCoordinate driver / airport
pick up to hotel and coordinate driver with all other driver duties oRental car arrangements for new
staff / visitorsoOrdering the office supplies (for project and office) and gaining necessary
approvalsoPrepare purchase requisition for rental cars, hotels, stationary, office suppliesoManage
expense reports following necessary processes and approvalsoCoordinating courier companies regarding
shipment / packages between offices and companiesoKeep office telephone lists up to date and
distributeoPerform other administrative assignments as required Person Specification, Skills, and
