1.Operates office equipment as required: computer/ printer/ fax/ copier/ telephone/ shredder or
related devices. Reports any faults or breakdown in office equipment provided both promptly and as
accurately as possible;2.Transcribes information from handwritten drafts, shorthand notes or
dictating systems. Ensures output is accurate and on time.3.Assists the staff in the related
department with general administrative tasks including filing, photocopying, preparation of
information;4.Prepares routine correspondence and routes completed correspondence for signatures.
Reviews outgoing correspondence for proper format, enclosures, grammar, etc.5.Receives, sorts and
distributes incoming and outgoing mails/ documents.6.Receives telephone calls and visitors, answers
routine questions, takes messages. Refers other matters as appropriate.7.Receives and consolidates
information/reports from subordinate organizational areas, and assists in the preparation of routine
planning and programs reports (accountability, operating budgets, overtime, et.).8.Secures and
presents information as requested from files, library, or other sources.9.Creates and maintains
information and filing systems, records and indices, including follow-up and confidential
matters.10.Maintains timekeeping system/s.11.Makes tentative appointments for department head as
required.12.Handles travel arrangements and itineraries of department head and staff of related
department, as directed.13.Observes all operating, safety and maintenance procedures at all
times.14.Ensures that confidentiality is maintained where necessary.15.Assists in the administrative
organization of workshops/conferences and/or groups as required.Education:College/BS in
Administration/Communication/Teacher of English language; Diploma in Secretarial
studiesCourse/training in communications/ customer service/administration of meetings is a
plusExperience:Minimum five (5) years of experience performing general secretariat duties, with
emphasis on task adaptability. Must have ability to type with fast with accuracy. Must be conversant
with standard office computer software packages for word processing, spread sheets, etc. such as
Word, Excel, or other standard packages.Language:Fluent command of written and spoken English is
essential.Knowledge of Arabic is preferable, but not obligatory.Skills:-appropriate IT skills: user
level of MS Office and other relevant systems, as well as operating office equipment (PC/ telephone/
fax/ printer/ scanner/ shredder, etc.)’-excellent interpersonal and communication skills-high
level of organizational skills; precise attention to details.5 - 15 yearsBasic - Bachelor of Arts ,
